New AIIM research on Social Business/E2.0 technologies released.

In this survey-based report, we look at the business drivers and adoption levels for social business and Enterprise 2.0 technologies, the benefits and issues being highlighted by users, and what platforms and infrastructures are being used for delivery. Here are some key findings: • Only 21% of responding organizations make no use of social business applications, including 6% where its use is specifically discouraged. 24% have ad hoc usage, 38% are moving to an enterprise wide strategy and 18% consider it to be actively used and coordinated across the enterprise - up from 6% in last year’s survey. • The key driver for social business is sourcing and sharing expertise, followed by the breaking down of departmental and geographic barriers. • Corporate culture and a general lack of awareness and leadership are the biggest impediments. • The IT department is most likely to take the lead in implementing systems. Despite some evidence of more widely spread usage, IT staff are still by far the more active users in most organizations, with the marketing department second. • Only 12% of respondents are required to make a financial business case for investment in social business applications, compared to 20% in last year’s survey. These projects are now twice as likely to be considered as an infrastructure investment (27%). • Once in use, greater knowledge sharing, faster responses to queries and questions, and fewer multi-copy emails are cited as the three top benefits. • Reluctance of staff to contribute, particularly senior staff, is given as the biggest issue. There is a growing concern about the level of non-business content, and this may be discouraging management-level staff from participating. Download the Report.

The digital mail room is dead.

While the quest for the paperless office lives on, the digital mail room has quietly become obsolete. Documents no longer arrive at the office solely via mail or courier. As a result, there is no longer a single, controllable portal for documents to enter an organization. Hence the digital mail room will no longer deliver on its promise. What is needed now is a strategy to capture and transform all incoming documents, regardless of where paper comes from.

Rules for Social Media at the workplace.

The law continues to develop in the area of social media, but so far there is no generally recognized right to privacy in social media postings (also see next chapter). As an employer there are some laws you need to consider, especially when using social networks in the recruitment process. But in spite of numerous privacy laws, as employee you would do better to play it safe an exercise caution in what information you share. There are many cases highlighting the hazy line between work and private lives. In Australia computer technician Damian O'Keefe was dismissed after posting insults about his manager from his own computer and out of hours on his Facebook page. The tribunal's deputy president, Deidre Swan, said "common sense would dictate that a worker could not publish insulting and threatening comments about another employee. The fact that the comments were made on the applicant's home computer, out of work hours, does not make any difference."
